Privacy Policy

Anytime Sports (the "Platform", "we", "us") connects parents and athletes with independent instructors, organizations and facilities for youth sports training. This policy explains what personal information we collect, why, how it is stored and shared, and the choices you have. It is written to comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial law in Ontario.

1. Information we collect

Account information

Name, email address, phone number, the role you sign up as (parent, instructor, organization, facility manager), the organization or sport you select, and your acceptance of our legal agreements (version and time).

Athlete information supplied by a parent or guardian

Athlete name, date of birth or age, skill level, position, shooting hand, medical or allergy notes you choose to enter, emergency contact, and any statistics, photos or video you upload to a player profile or digital card. Athlete information is entered only by the parent or guardian who holds the account and is never collected from a minor directly.

Booking and payment information

Sessions booked, attendance, cancellations, account credits, points and promo codes. Card details are collected and stored by our payment processor, Stripe; we receive only a payment reference, the last four digits and card brand, and the amounts and fees for each transaction.

Provider information

For instructors, organizations and facilities: profile content, credentials and certifications you choose to publish, availability, session listings, and the Stripe Connect account status needed to pay you. Identity verification and bank details are collected and held by Stripe, not by us.

Technical information

IP address, browser and device type, pages visited and actions taken on the Platform, collected through server logs, error monitoring and product analytics. We use this to keep the Platform working, secure and improving.

2. How we use it

  • To create and manage your account and the athletes under it.
  • To list, book, confirm, remind, reschedule, cancel and refund sessions.
  • To process payments, issue account credits and pay providers through Stripe.
  • To send transactional email: sign-in links, booking confirmations, reminders, cancellation and refund notices, waitlist offers and provider approvals.
  • To display public profiles, coach pages and digital cards that you or a parent/guardian have chosen to make public.
  • To prevent fraud and abuse, enforce our agreements and comply with law.
  • To understand how the Platform is used so we can improve it.

We do not sell personal information and we do not use athlete information for advertising.

3. Who we share it with

  • Providers you book with. An instructor, organization or facility sees the booking details they need to run the session: athlete name, age and skill level, parent contact, and any notes you add to the booking.
  • Stripe (payments, payouts, identity verification for providers).
  • Supabase (database and authentication hosting), Vercel (application hosting), Resend (transactional email), and error-monitoring and analytics tools that process technical information on our behalf.
  • Law enforcement or regulators where required by law, or to protect the safety of a person.

Service providers may store data outside Canada, including in the United States, and it may be subject to the laws of those jurisdictions. We select providers with recognized security practices and contractual privacy commitments.

4. Public content

Coach profiles, organization pages and session listings are public by design. A player profile or digital card is private until the parent or guardian sets it to public; once public it may be viewed, indexed by search engines and shared by anyone with the link. You can return it to private at any time from your account.

5. Retention

We keep account and booking records for as long as your account is active and for seven years afterwards where required for tax, accounting and dispute purposes. Athlete profiles are deleted when you delete them or close your account, except where a booking record must be retained. Technical logs are retained for a limited period and then deleted or anonymized.

6. Your rights

You may access, correct or delete the personal information we hold about you and the athletes under your account, withdraw consent (subject to legal or contractual limits), and ask questions or make a complaint about our handling of your information. Most of this you can do directly from your account settings; for anything else, contact us at the address below. You also have the right to complain to the Office of the Privacy Commissioner of Canada.

7. Security

Access to personal information is restricted by role and enforced at the database level; data is encrypted in transit and at rest by our hosting providers; sign-in uses one-time email links rather than stored passwords. No system is perfectly secure, and we will notify you and the appropriate authority of any breach that creates a real risk of significant harm, as the law requires.

8. Children

The Platform is used by adults. Athlete information about a person under 18 is entered by, and remains under the control of, that person's parent or legal guardian. We do not knowingly create accounts for minors.

9. Changes

We will post any changes here and update the effective date. Material changes to how we handle athlete information will be announced by email to account holders before they take effect.
